What happens to my data if my subscription ends, or I stop using Gsheet CRM?

Nothing happens to your data — because it was never ours. Every lead, note, and number lives in a Google Sheet in your Drive, and it keeps working as a normal spreadsheet with or without us. Our servers hold only the wiring: which columns mean what, and when follow-ups are due.

If you stop using the app, the sheet simply stays where it always was. You can revoke the app’s access to it any time from your Google account’s security settings, and removing the app never touches a single row.

What happens if I go over my plan's limits?

Nothing you already have is ever touched. A limit only stops new additions: past your lead cap you can’t add another lead, past your seat cap you can’t add another person — and the app tells you so in a plain sentence at the moment it matters.

Everything already on the board keeps working: viewing, editing, dragging, reports, reminders. Upgrading lifts the limit within a minute.

Can I use Google Sheets formulas for computed fields?

Yes — and it’s one of the best reasons this CRM is a spreadsheet. Add a formula column in your sheet (a computed total, a lookup, a score) and its values appear in the app like any other field. The app detects formula columns and refuses to write over them, so your formulas are safe from us.

For sums across linked tables (payments received, viewings booked), you don’t even need a formula — rollups land on the lead’s card automatically.

Can I start monthly and switch to annual later?

Yes. Open Billing, flip the Monthly / Yearly toggle, and pick your plan — the switch happens at checkout, and your board never blinks.

Can I add custom fields?

Yes, two ways. In the app: Settings → Fields adds a column and lets you choose where it shows — on the card, on the board, in the lead panel — and whether it’s required. Or add a column straight in your Google Sheet; it appears in the app on the next read.

The app adds columns, but it never renames or deletes yours — the sheet stays yours to shape.

Can I limit what my staff can see and do?

Yes. People join as Owner, Manager, or Team member. Team members see only the leads assigned to them (or their team’s, if they lead one), their reports cover only what they can see, and workspace settings, billing, team management and the API are owner/manager-only — enforced on the server, not just hidden.

Prefer an open book? Switch visibility to everyone sees everything in Settings. Disabling someone locks them out immediately.

Can I edit my data directly in Google Sheets?

Any time. The sheet is the database — type in it, paste fifty rows into it, sort it, open it in the Sheets app on your phone. Your changes show up in the CRM on its next refresh, and pasted rows get their IDs filled in automatically.

One honest note: automations and webhooks fire when changes happen through the app or its API — not when you type directly in the sheet.

What exactly can Gsheet CRM see in my Google account?

One file. We use Google’s narrowest Drive permission (drive.file), which can only open the spreadsheet the app created for you — never the rest of your Drive, never your email, never your other files. The details live in our privacy policy, written to match the code.

Does it work with WhatsApp?

Yes — Gsheet CRM also runs inside Libromi Team Inbox. Your team sees each customer’s card beside the WhatsApp conversation, and new WhatsApp leads land on this same board. One sheet, both places.

I already have a sheet full of customers. Can I bring them in?

Yes — start from a ready-made setup for your business, then paste your rows straight into the sheet. IDs and formatting are handled for you. And if you’d like to feel the CRM working before your own data arrives, tick load example data at setup — it removes cleanly from Settings whenever you’re done.

Is there an API?

Yes — a REST API for leads, linked tables and follow-ups, plus signed webhooks for events like a lead changing stage. Find leads by phone number (the ID your website form actually knows), create-or-update in one call, and read docs written with your own column names under Developers inside the app.

Do reminders reach me outside the app?

Follow-ups always show inside the app — overdue, today, and later, in one place. Email delivery for due reminders is built in too, arriving during working hours in your workspace’s own timezone rather than at 3am.
